1. Introduction

MyFitKidney ("we," "our," or "us") respects your privacy and is committed to protecting the personal information you collect and manage through our Personal Trainer CRM application ("the App"). This Privacy Policy explains our practices regarding the collection, use, and disclosure of information when you use the App, in compliance with Google Play Developer Best Practices.

2. Information Collection and Use

The App is designed as a Customer Relationship Management (CRM) tool for personal trainers. To provide its core features, the App allows you to input and manage the following types of data:

  • Trainer Profile Data: Name, professional bio, certifications, and profile photos.

  • Client Information: Names, contact details (email, phone number), and Date of Birth (DOB).

  • Health and Fitness Metrics: Weight, body fat percentage, skeletal muscle mass, Target Heart Rate tracking, and medical history (e.g., PAR-Q+ assessments).

  • Billing and Interaction Data: Session notes, tracking of active packages, and payment transaction logs.

 

Data Storage: By default, all client data, health metrics, and billing logs are stored locally on your device's internal storage using secure local database solutions. We do not automatically upload or sell this data to external servers.

3. Permissions and Device Access

To function correctly, the App requires specific Android device permissions. We only request permissions essential to the App’s operation:

  • Internet / Network Access: Required to communicate with third-party APIs (such as the Gemini API for smart insights) and to perform explicit data backup features if enabled.

  • Notifications & Vibrate: Used to send you alerts, reminders for client sessions, and updates on background tasks.

  • Foreground Services: Required to ensure that crucial background tasks—such as workout timers and secure data exports—complete reliably without being interrupted by the Android OS.

  • Media / Storage Access: Necessary for saving local database exports (CSV), accessing image files for profile pictures, and performing secure backups.

  • Accounts (GET_ACCOUNTS): Used exclusively for verifying any integrations or ensuring secure, verified automated backups if implemented by the user.
     

4. Third-Party Services integration

The App may utilise third-party services to enhance functionality. These third-party providers have their own Privacy Policies addressing how they use data:

  • AI Integration (Gemini API): If you use the App's AI-assisted features (like generating smart insights or summaries), relevant text prompts are transmitted securely to the Gemini API for processing. We advise against sending identifiable user health metrics strictly through AI prompts unless necessary for your workflow. 
     

5. Data Security

We value your trust in managing your clients' sensitive information. All data stored locally on your device is protected by standard Android organisational security protocols (App Sandbox). However, remember that no method of electronic storage is 100% secure. We strongly recommend securing your device with a PIN, password, or biometric lock to prevent unauthorised access to your clients' data.

6. Data Retention and Deletion

Because the core functional data is stored on your device:

  • Retention: You retain total control over how long data is kept. Data remains on your device until you manually delete it from within the App or uninstall the App entirely.

  • Deletion: You can permanently delete individual clients, session notes, or billing transactions directly from the App's interface. Uninstalling the App will completely wipe the App's local database from your device.
     

7. Changes to This Privacy Policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Effective Date" at the top. You are advised to review this Privacy Policy periodically for any changes.
